How to Write Your AI Receptionist Script — 7-Step Checklist

"Hi, you've reached Smiles Dental's virtual assistant. I can help you book appointments, answer questions about our services, or get you to Dr. Lee if you need her. What can I do for you?"

Choose one based on your brand voice and your patient/customer mix. Anxious patients (medical, legal) often appreciate the transparent version; transactional callers (restaurants, retail) prefer the warm version.

2. The qualification questions

What does the AI need to capture on every call to be useful? This varies wildly by vertical:

  • Restaurant: party size, date/time, dietary needs, contact for confirmation
  • Dental: patient name, insurance carrier, reason for visit, new vs existing patient, urgency
  • HVAC: address, system type (gas/electric/heat pump), what just happened, system age, whether tenant or owner
  • Law (PI): jurisdiction, date of incident, type of injury, current representation status, contact preference
  • Real estate: which property, pre-approval status, timeline, contact preference

Rule: if the question wouldn't matter to the human who calls them back, the AI shouldn't ask it. If it WOULD matter, the AI must always ask it.

3. The triage / escalation logic

This is where most generic AI receptionist configurations fail. The AI needs YOUR specific rules for what counts as urgent.

Bad triage (generic):

  • "Patient sounds upset" → escalate

Good triage (dental example):

  • Keywords: "bleeding won't stop" / "severe pain" / "facial swelling" → text on-call dentist immediately with full transcript
  • Keywords: "cracked tooth" / "lost crown" → captured, queued for first-thing-next-business-day
  • Keywords: "tooth hurts a little" / "feels weird" → captured, queued for normal scheduling
  • Default for unclear cases: captured, queued for review within 4 business hours

Write your triage logic out as if you're training a new receptionist. The AI executes the same rules.

4. The booking / scheduling integration

6. The escalation contact + on-call routing

Who gets reached when the AI flags something urgent? At what number? In what format (text + transcript / call / both)? On what schedule (always / business-hours / on-call rotation)?

Example (HVAC contractor on-call rotation):

  • Monday-Tuesday after-hours: Mike (text + transcript to 555-1234)
  • Wednesday-Thursday: Jess (text + transcript to 555-5678)
  • Friday-Sunday: rotating, defaults to owner Phil (555-9000)
  • Always-on: anything mentioning "smoke" or "gas smell" → text Phil immediately regardless of schedule

Document this in plain English; the AI follows it.

7. The follow-up / handoff message

What happens AFTER the AI captures the call? What does the customer hear at the end?

Bad:

"OK, goodbye."

Good (example):

"Perfect, I've got everything. Mike will text you between 4 and 5pm today to confirm the appointment time. If you don't hear from him by 5, please call us back at this number. Anything else I can help with right now?"
